Rapid Implementation Sets Firm Up For Success in the Cloud

NJORD Law Firm is a full-service law firm serving local and international clients in Denmark and the Baltics region. The NJORD litigation department is one of the largest and most experienced among the top ten Danish law firms. It specializes in more than thirty business areas, including criminal law, data protection, M&A, and Intellectual Property.
Transforming Ways of Work
As part of its digital transformation journey, NJORD wanted to enhance its existing technology stack with a best-in-class cloud-based Document Management System (DMS). Specifically, NJORD wanted a system that would complement and work seamlessly alongside its existing practice management system (PMS) to enable the firm’s 150 employees, including 70 lawyers in its Danish offices to collaborate and work more effectively together. NJORD also needed a DMS that would support hybrid working, giving its lawyers the ability to securely search, access, and edit documents from any device or location.
NJORD selected NetDocuments because of its modern, proven cloud solution that delivers seamless usability and extensive integrations. NetDocuments’ strong integration with the Microsoft application suite and the existing PMS’s inbuilt time recording solution were also important factors in NJORD’s decision – as the firm’s lawyers could continue to use the tools they were already familiar with, all protected under a single platform.

A Rapid Eight-Week Implementation Process
NetDocuments’ ability to integrate seamlessly with the existing technology stack meant NJORD was able to go-live with its new DMS in just eight weeks. This ease of setup meant disruption during implementation was kept to a minimum.
NetDocuments entrusted its partners Peregrine Cloud and Sicklaskiftet to support the implementation. With Sicklaskiftet focusing on the DMS setup and Peregrine Cloud managing the document migration, the implementation was completed in just two months.

However, working with NetDocuments and its partners was a frictionless experience, enabling us to get up and running quickly and ensuring that business could continue as usual.”

In total, 2.2 million documents were migrated during the implementation in two stages. Firstly, a bulk migration was completed three weeks prior to the go-live date. This was followed by a delta migration on the final weekend before the go-live date, which imported all documents that had been created or changed since the initial migration.
To ensure NJORD was fully up to speed with NetDocuments, Peregrine Cloud conducted in-person training for all employees at the firm’s Danish offices. Peregrine Cloud also provided video tutorials and instruction manuals and led follow-up training after the deployment. Twelve internal “super users” were also identified to assist colleagues with day-to-day questions on using NetDocuments.
“Change management is an important aspect to any successful implementation. In fact, the incredible speed and efficiency of the implementation should alleviate any fears that other firms might have when it comes to moving to the cloud,” explained Falkner. “The training sessions provided by Peregrine Cloud helped us to quickly onboard our lawyers and reap the benefits of the new platform.”
A New Journey Focused on Innovation
Since implementation in early 2022, NJORD’s lawyers have been able to find, share, and collaborate on documents with ease from any location. This level of flexibility and the intuitive nature of the NetDocuments platform, due to its tight integration with the Microsoft applications suite has been crucial in enabling effective hybrid working.
The in-built protection of NetDocuments’ Data Loss Prevention has also helped to keep content safe and compliant, ensuring that documents can be edited and shared by only those authorized to access them. This ensures NJORD can keep sensitive content safe from data breaches, exfiltration, and unauthorized or inappropriate use.
